CCM is the acronym for Condition Contract Management and is the new SAP S/4 HANA standard for all types of settlement processes such as customer rebates, commission agreements, royalties, freight charges and many others. In German the SAP CCM module is also referred to as “Abrechnungsmanagement”.

As with the transition to S/4 HANA, the use of settlement management has become mandatory for all SAP customers who previously worked with the classic SD rebate agreements in the ECC environment. As a result, primarily for the processing of customer rebates, many of the first S/4 HANA implementations were initiated over the past five to eight years.

But beyond that, this innovative SAP CCM solution can also be ideally used for a wide range of other additional settlement and reimbursement scenarios that may not be immediately obvious. These are processes such as supplier rebates, factoring, ship-and-debit scenarios as well as for the cross-company allocation of overhead costs.

From our perspective SAP CCM offers the following five key benefits:

One central application for all settlement processes within S/4 HANA

Clear and transparent determination of the calculation base (revenue base)

Agreements can be easily scaled and also created retroactively

Fast analyses and simulations are possible at any time based based on live data

Consistent and seamless calculation of accruals

1. One central application for all settlement processes in S/4 HANA

All relevant agreements with customers, suppliers or intercompany business partners can be centrally managed in S/4 HANA using the condition contracts. Here, SAP has put a strong focus on usability for the end users.

Because of the consistent and intuitive user interface, the users benefit from a fast and transparent overview of their contracts. Also the easy executing of operational tasks - such as the triggering of settlement runs or accrual calculations is outstanding and delivers an immediate added value in the day-to-day work.

Architecture of the SAP CCM module – Copyright Kairos PRO Consulting

In addition to that, CCM offers a smart and elaborate architecture that enables seamless integration between the new settlement components on the one hand - like the condition contracts and settlement programs - and other classical SAP core modules on the other hand, in particular SD, MM and FI/CO.

As a result, SAP has succeeded with CCM in combining completely new functionalities and tools such as the flexible definition of the business volume or optional delta accrual runs with well-established components like classic pricing condition techniques and account determination.

2. Clear and transparent determination of the calculation base (revenue base)

The most significant innovation of SAP CCM compared to the former ECC rebate processing is the use of the so-called "business volume". This revenue base can be defined very intuitively and flexibly within each condition contract using revenue selection criteria. In customizing, the available revenue selection criteria can be configured individually for all the different contract types. As a data foundation for the revenue base, standard tables, CDS views, as well as customer-specific Z tables can be used.

The handling of the business volume logic is particularly user-friendly and elegantly designed because each individual revenue selection criterion can be defined using either an inclusive or exclusive logic. This allows even complex subsets of a relevant settlement volume to be identified quickly and with a high degree of precision.

3. Agreements can be easily scaled and also created retroactively

You can easily model settlement agreements that should be valid equally to multiple customers or suppliers using a single multi-condition contract. This saves a significant amount of time and resources. During settlement runs, so-called split criteria ensure that each customer or supplier receives a separate settlement document with their individual revenue base. With the use of the right customizings, it is easy then to define a common scale basis within such multi-condition contracts, so that always the right scales are determined accross multiple business partners.

Furthermore, thanks to the simplified data model in SAP S/4 HANA, it is no longer an issue to create condition contracts retroactively—that is, with validity dates in the past. In the former ECC system, this was always problematic, as the index table (VBOX) first had to be laboriously updated using transaction VBOF in order to ensure that the invoices relevant to a new agreement were taken into account. In SAP S/4 HANA, however, the relevant revenue data is now read directly and dynamically from the underlying data sources, allowing retroactive agreements to be considered automatically and reliably in settlement processing.

4. Fast analyses and simulations are possible at any time based on live data

With the improved SAP S/4 HANA architecture in SAP CCM, fast and straightforward analyses
of the current settlement-relevant revenue volume can be performed at any time based on live data from transactional documents (e.g. VBRK, VBRP, etc.)—per contract using transaction WB2R_BUSVOL. This dynamic and transparent real-time revenue analysis also makes it possible to effectively verify whether the selected revenue selection criteria in the contracts are correctly and completely configured. As a result, end users can perform the necessary plausibility checks for their contracts ahead of upcoming settlement runs, allowing master data issues to be identified and addressed at an early stage.

Fast simulation runs for upcoming settlements are also possible based on live data.

5. Consistent and seamless calculation of accrued liabilities

In the new SAP CCM solution within SAP S/4 HANA, there are several methods for accrual calculation, which differ depending on timing, degree of automation, and intended use.

As in the former ECC solution, the required accruals for the relevant bonus contracts can already be calculated on a daily basis during SD billing. These accruals are then automatically reversed as part of the contract settlement process.

Alternatively, automated periodic delta accrual runs (e.g. monthly or quarterly) can be scheduled as batch jobs based on the settlement calendar. In this process, the accrual program always determines the current accrual requirement up to the end of the respective settlement period, taking into account previously posted payouts and accruals. Any calculated shortfall or surplus in accruals is automatically balanced.

In addition, users can manually trigger accrual postings at any time—for example, if accruals need to be created only in exceptional cases or retroactively. Likewise, suitable tools are available for the unscheduled reversal of accruals (e.g. for obsolete contracts), such as transaction WB2R_RAC.

Conclusion:

SAP CCM is the modern SAP S/4 HANA standard for all settlement and incentive processes and provides companies with a central, fully integrated solution for complex contract and settlement models. The solution stands out through a clear definition of the revenue base, high scalability of agreements, real-time analyses based on live data, as well as reliable and flexible accrual management. Overall, SAP CCM enables more efficient incentive processes, greater transparency, and significantly less manual effort compared to the former ECC environment.

Haven’t you also found yourself asking where the real value of migrating to SAP S/4 HANA actually lies? Why are such significant, multi-million investments made in SAP consulting services and IT projects—and how does this ultimately translate into a measurable return on investment (ROI) for our organization?

The common answers to these questions are usually rather unsatisfactory:

The existing SAP system is reaching the end of maintenance and will no longer be supported by the software vendor.

All functional enhancements are provided exclusively via SAP Fiori, the new web-based user interface.

In SAP S/4 HANA, key functions like SD customer bonus processing are exclusively handled through Condition Contract Management (CCM).

But is that really all?

The good news: no—there is significantly more potential. The bad news: this potential is neither actively communicated by SAP itself nor by the usual consulting firms or traditional IT projects.

Let's start with the good news

SAP S/4 HANA enables the implementation of new and innovative business models—often without any custom ABAP development, relying instead purely on configuration. At the same time, it allows the creation of truly digital workplaces, with user interfaces that are as intuitive as modern smartphone apps. Above all, SAP CCM offers the opportunity to realize substantial and sustainable cash-back potential—often on a scale that exceeds the implementation costs many times over.

How does this work?

Simply put, so-called condition contracts are used to settle retroactive conditions at defined points in time and for specific business events. A simple example illustrates this:
Ein Einkäufer und ein Verkäufer vereinbaren, dass bei einem Jahresumsatz von 100 Euro für ein Produkt ein nachträglicher Rabatt von 5 Prozent gewährt wird. Das ergibt 5,- Euro Rückvergütung am Periodenende.

In practice, however, this process depends on many factors: purchasing strategy, product structure, market conditions, competition—and above all on an IT system that can automate the entire flow from data collection through to legally compliant settlement. This is exactly where the strength of SAP CCM lies. Because the system fully and transparently supports these processes. What is often missing, however, is the consulting expertise to properly identify this potential and translate it into a meaningful implementation approach.

Which brings us back to the bad news.

In many industries—except for retail—retroactive conditions are rarely used. In manufacturing, where margins in direct material procurement are tight, this is understandable. However, beyond production materials—such as spare parts, services, or catalog purchases—there is enormous untapped potential.

A practical example:
A mid-sized manufacturing company with annual revenue of around €3 billion and a purchasing volume of approximately €600 million for services, spare parts, and other non-production-related materials. If no retroactive conditions are applied in these areas—whether due to a lack of technical support or insufficient consulting expertise—significant potential rebates remain unrealized. Based on experience with SAP CCM, between 3 and 10 percent of the purchasing volume can typically be realized. Using a conservative average of 5 percent, this amounts to roughly €30 million per year—on a recurring basis.

Because this aspect is often not planned as part of many SAP S/4 HANA migration projects, it is frequently not implemented at all. Until a possible later introduction, significant amounts are lost year after year—if it happens at all. Neither IT departments nor consulting firms actively drive this topic, as the focus is often placed on other project areas that tend to be more margin-intensive for consulting providers.

Conclusion:

With the introduction of SAP S/4 HANA, a true return on investment becomes possible. The targeted use of SAP CCM in procurement can be a key success factor—though not the only one. We therefore recommend focusing on this potential at an early stage and strategically integrating it into your transformation projects.

The introduction of Settlement Management in SAP S/4 HANA is unfortunately often viewed by many SAP customers at the outset as a purely technical “migration topic.” From our consulting perspective, however, experience shows that the real challenges usually lie less in configuring the solution itself and much more in a lack of understanding of SAP CCM’s capabilities, the correct tax treatment of settlement processes, and proper preparation through clean and consistent master and transactional data. It is precisely in these areas that typical project pitfalls repeatedly arise—issues that often only become apparent very late, frequently long after go-live.

With this blog post, we therefore aim to highlight typical pitfalls in the implementation of SAP CCM that we have encountered across numerous projects. The goal is to raise awareness of where the major risks lie, which common misconceptions are frequently made, and how these issues can be avoided with the right approach.

Based on our experience, the following three mistakes are made particularly often:

Missing or insufficient tax concept

Poor quality of master and transactional data

Unnecessary custom developments

In detail:

1. Missing or insufficient tax concept

A relatively critical pitfall when implementing SAP CCM (Settlement Management) in SAP S/4 HANA is the absence of a well-defined or carefully designed tax concept. In many organizations, too little attention is paid to tax determination logic, or it is only questioned once the first settlement processes are already live—at a point when corrections can only be made with considerable effort.

In practice, this issue often becomes apparent in hastily set up settlement scenarios, such as advertising allowances. In many cases, a bonus contract with output tax is quickly created without further consideration. Only later does it become clear that, based on the contractual agreement and the nature of the service, this specific business transaction is not a bonus from a tax perspective, but must instead be treated as a commission. The result: input tax should have been posted instead of output tax. Such misclassifications not only lead to significant accounting correction efforts, but also pose considerable risks during tax audits and financial inspections at a later stage.

Another common mistake occurs when bonus settlements that represent a “rebate” to the customer trigger a new tax determination by the system—even though, from a tax perspective, this should not happen. This issue typically arises when an existing standard condition contract type is simply copied as a template, without a clear understanding of how different contract types behave with regard to tax determination. For example, there are goods-related contract types that automatically adopt the original tax codes from the source invoices. If this logic is not properly understood or deliberately taken into account, it can quickly lead to inconsistent and incorrect tax postings.

We therefore always recommend involving colleagues from the tax department or a tax advisor at an early stage, as consistent tax determination is a key prerequisite for audit-compliant processing in SAP CCM.

2. Poor quality of master and transactional data

Another common mistake when transitioning to SAP CCM is insufficient quality of the master and transactional data on which settlement processes are based. This particularly affects material master data and, as a result, transactional data such as SD invoices, deliveries, or purchase orders. In many cases, important parameters are not taken into account when material master records are created, or they are not maintained consistently—such as being defined as mandatory fields—even though they are later required for the delimitation and selection of relevant revenues. These include, for example, bonus and commission groups or company-specific product groupings (e.g. assortments), which can be used in revenue selection criteria. If this information is missing or maintained inconsistently, certain portions of revenue cannot be excluded or correctly considered and differentiated during settlement runs.

Equally important in this context is the design of pricing determination. When setting up pricing procedures in SD/MM, the primary focus is often placed on invoice-relevant price calculation, without considering downstream settlement processes from the outset. Especially when different settlement bases are required for different business areas, the pricing procedure must be designed from the very beginning to ensure that all settlement-relevant values are deliberately carried forward into predefined subtotals (KZWI1–6) in the billing tables. If this is not done, the resulting transactional data can no longer be adjusted afterward, leading to significant manual recalculation efforts and limited automation.

Unnecessary custom developments

Last but not least, we would like to address the many unnecessary custom developments we have encountered. These often arise simply from the assumption that the SAP standard is insufficient for more complex settlement logic, or from habit—aiming to replicate legacy processes “the way they used to be.” In reality, the SAP CCM solution in SAP S/4 HANA already provides powerful standard alternatives that render many traditional customer-specific developments obsolete.

A key tool in this context is, of course, CDS views (Core Data Services), which allow the data model for all incentive and settlement processes to be elegantly enhanced with relevant fields—without having to develop customer-specific user exits or BAdIs. This approach not only reduces development and maintenance effort, but also ensures improved upgrade and release stability.

The same benefits are delivered by the often underestimated Transfer Manager, a standardized configuration tool within Settlement Management. Using so-called transfer events and transfer rules, data can be read very flexibly—per settlement document type—from a wide variety of tables and structures, transformed as needed, and passed on to downstream modules (especially FI/CO), all without requiring any ABAP coding. Particularly in light of the regular SAP S/4 HANA releases and innovations, we therefore strongly recommend that our customers consistently leverage this component as part of a clean core approach in SAP CCM. Not as a technical detail, but as a strategic decision that delivers sustainable long-term value.

Conclusion:

From our perspective, implementing SAP CCM in SAP S/4 HANA requires a minimum level of experience with this new solution, thorough preparation, and strategic foresight. Without a robust tax concept, consistent master and transactional data, and a solid understanding of standard functionalities, risks arise that often only become apparent after go-live. At the same time, the SAP CCM standard provides powerful tools that help avoid many customer-specific developments. Organizations that deliberately leverage these capabilities and set the right course early on can establish a future-proof and audit-compliant settlement environment.

Der Beitrag Was sind 3 häufige Fehler bei der Einführung von SAP CCM in S/4 HANA? erschien zuerst auf Kairos PRO Consulting.

With the CCM module in SAP S/4 HANA, SAP has created an extremely powerful tool for the retroactive settlement of conditions in both procurement and sales. Using condition contracts that can be configured entirely through customizing—without any custom programming—the foundation is laid for automated settlement and posting within the SAP system.

The contracts themselves are typically tightly embedded in company-specific business processes and are therefore designed in a highly individual manner. As a result, the control and monitoring of the achieved results must inevitably be aligned with these processes as well.

At this point, however, the SAP standard often reaches its limits. The analyses provided by SAP offer only limited support for the targeted management of CCM contracts. While the SAP Fiori analytics fundamentally address the capabilities of modern web technologies, they do not fully leverage this potential.

For this reason, together with our cooperation partners, we have developed an alternative approach over the past few years: web-based, custom-tailored dashboards for the SAP CCM environment. These dashboards offer several decisive advantages. They are significantly more cost-effective to implement than adaptations or extensions of standard SAP Fiori apps. For efficient analysis, threshold-based evaluations are used, which—especially with large data volumes—display only truly relevant information instead of presenting millions of irrelevant individual records, as is often the case with traditional ABAP-based reports.

In addition to trend analyses and simulations, the dashboards also enable the comparison of CCM data with information from other SAP modules, such as procurement or sales. This creates a holistic view of the underlying business relationships. The data foundation always remains the original SAP system. Access is provided without developing additional ABAP programs, instead using a proprietary functional technology. This makes the solution not only transparent, but also particularly low-maintenance.

Another advantage becomes apparent when company-specific business cases change. If condition contracts are modified or new contracts are introduced, the corresponding control mechanisms can be adjusted quickly and cost-effectively. A practical example is the analysis of condition revenues. Using threshold-based analysis, the dashboard displays only those items or assemblies that deviate significantly from the planned condition revenues. It deliberately does not show all settled line items. In addition, relevant information from other SAP modules—such as sales figures from Sales, prior-year values, or other key performance indicators—is integrated. This not only makes deviations visible, but also directly supports root-cause analysis.

Conclusion:

Today, it is possible to establish efficient and cost-effective control instruments for the SAP CCM module. Web-based dashboards built on modern technologies provide significantly greater transparency, support well-founded decision-making, and systematically unlock the economic potential of CCM contracts in a sustainable way.
